At Vivion Energy, we aim to provide high-quality energy products and related services with clear expectations from the start. This Refund Policy explains when returns, refunds, cancellations, and deposits may or may not be accepted for products purchased through our website or directly through our team.
By placing an order with Vivion Energy, you agree to the terms below.
- General Return Eligibility
Returns are not accepted unless approved in advance by Vivion Energy in writing.
If a return is approved, the item must:
- be unused
- be in original condition
- be in original packaging
- include all accessories, manuals, and components
- be returned within the approved return window
We reserve the right to refuse any return that does not meet these conditions.
- Non-Refundable and Non-Returnable Items
The following items are final sale and are not eligible for return or refund:
- custom-ordered products
- special-order equipment
- made-to-order items
- products altered, cut, sized, or configured for a customer’s project
- installed products
- used, opened, damaged, or incomplete items
- electrical components or equipment that have been opened or installed
- clearance items
- gift cards
- labour, installation, consultation, design, permit, inspection, or other service fees once work has started or been completed
This includes, without limitation, products such as custom system components, special-order HVAC or energy equipment, cut wire, modified parts, and project-specific materials.
- Return Authorization
No item may be returned without prior written approval from Vivion Energy.
If your return is approved, we may provide return instructions, including where the item must be sent and any conditions that apply. Unauthorized returns may be refused or sent back at the customer’s expense.
- Restocking and Processing Fees
Approved returns may be subject to a restocking or handling fee of up to 20% of the purchase price.
Vivion Energy also reserves the right to deduct:
- original shipping charges
- return shipping costs
- payment processing or merchant fees
- any costs incurred due to the condition of the returned item
- any other reasonable costs related to the order or return
Because of these deductions, an approved refund may be partial rather than full.
- Damaged, Defective, or Incorrect Items
If you receive an item that is damaged, defective, or incorrect, you must notify Vivion Energy within 5 days of delivery.
Please include:
- your order number
- a description of the issue
- clear photos of the product and packaging
We may ask for additional information before approving a replacement, return, or refund. Failure to report the issue within a reasonable time may result in the claim being denied.
- Inspection of Returned Items
All returned items are inspected once received.
Approval of a return does not guarantee approval of a full refund. The final refund amount, if any, depends on the condition of the item when it arrives back to us.
If the returned product shows signs of use, damage, missing parts, missing packaging, or any condition that reduces its resale value, Vivion Energy may:
- reduce the refund amount
- deny the refund
- return the item to the customer at the customer’s expense
- Refund Timing
If a refund is approved, it will typically be processed within 30 days after the returned item has been received and inspected.
Refunds will be issued to the original payment method unless otherwise agreed in writing.
Processing times from banks or credit card providers may vary and are outside our control.
- Order Cancellations
Orders cannot be changed or cancelled once accepted unless Vivion Energy agrees in writing.
If we approve a cancellation, the order may be subject to:
- administrative fees
- payment processing fees
- supplier cancellation fees
- restocking charges
- costs already incurred for materials, handling, planning, or project preparation
For custom, special-order, or project-based items, cancellations may not be possible after the order has been placed.
- Deposits for Project-Based Work
For certain products, system planning, consultations, or project-based energy solutions, Vivion Energy may require a deposit before work begins.
Unless otherwise stated in writing, deposits are generally non-refundable once planning, sourcing, design, coordination, or project preparation has started.
A deposit may be refunded, in whole or in part, only at Vivion Energy’s discretion or where we determine that the project cannot reasonably proceed due to factors outside the customer’s control, such as:
- utility or grid-connection rejection
- unavailable required approvals
- project feasibility issues discovered during planning
- unexpected external conditions that make the project unworkable
- Installation and Service Work
Where installation or related services are provided, service-related charges are non-refundable once the work has been scheduled, started, or completed.
If equipment has already been installed, connected, activated, or commissioned, it is not eligible for return unless required by applicable law.
- Manufacturer Warranty
Many products sold by Vivion Energy are covered by the original manufacturer’s warranty rather than a separate warranty from Vivion Energy.
Warranty claims for eligible products are subject to the manufacturer’s terms, limitations, and approval process. Vivion Energy may assist with a warranty claim where possible, but final warranty decisions remain with the manufacturer where applicable.
- Shipping Costs
Shipping charges are non-refundable unless the return is the direct result of an error made by Vivion Energy.
Customers are responsible for return shipping costs unless otherwise confirmed by us in writing.
- Refused Deliveries
If a customer refuses delivery of an order without an approved return arrangement, Vivion Energy may deduct all shipping, return, storage, handling, and administrative costs from any eligible refund.
- Chargebacks and Payment Disputes
If you have an issue with your order, please contact us first so we can review and help resolve it.
Submitting a chargeback or payment dispute without first giving us a reasonable opportunity to review the issue may delay resolution and may affect eligibility for refunds, replacements, or future service.
